Effective October 5, 2026. These terms are a contract between you (the business that creates an account) and BidOffice ("we", "us"). Using the service means you accept them.
BidOffice is software for trade contractors. It reads your plan sets and produces draft estimates, proposals and invoices, sends them to your customers on your behalf, tracks payments and reminders, and keeps records for your business. It is a tool that works from the information you give it. You remain the contractor: you review every estimate before it goes out, you set your prices and margins, and you are responsible for the accuracy of anything you send to a customer.
When your customers pay an invoice they pay you, through the payment link or instructions you set in Settings. BidOffice never holds, moves or takes a share of your customers' money. Disputes about a job or a payment are between you and your customer.
You own your plans, estimates, customer lists, logos and everything else you put into BidOffice. You give us a licence to store, process and transmit it only as needed to run the service for you (including sending it to the AI and email providers we use, under section 9). We do not sell your content or use it to train AI models. You confirm you have the right to upload what you upload, including plans drawn by others.
You may use BidOffice only for your own contracting business and lawfully. You may not use it to send unsolicited bulk email, to send messages that misrepresent who you are, to upload material you have no right to, to probe or overload our systems, or to resell access. Customer-facing messages are sent in your business's name; you are the sender for legal purposes (including CAN-SPAM and state consumer law) and must honour customer requests to stop contact. See the Acceptable Use section for detail. We may suspend an account that breaks these rules, with notice where practical.
We run on hosted infrastructure and use third-party providers for AI processing, email delivery, payment processing and backups. They process your data under contracts that restrict them to providing their service to us. The current list is in the Privacy Policy.
We aim for the service to be available at all times but do not guarantee it. We may take it down briefly for maintenance and will try to do so outside working hours. Support is by phone and email during business hours, Eastern time; the number is in your dashboard.
The service is provided "as is". To the fullest extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and accuracy of estimates. Some states do not allow this disclaimer, in which case it applies to the extent permitted.
To the fullest extent the law allows, we are not liable for lost profits, lost jobs, lost data, or indirect, incidental, special or consequential damages, however caused, even if advised of the possibility. Our total liability for any claim relating to the service is limited to the amount you paid us in the 12 months before the claim arose. Nothing here limits liability that cannot be limited by law.
You will defend and indemnify us against claims by your customers or other third parties arising from estimates, proposals, invoices or messages you send, from the work you perform, or from content you upload.
You may cancel at any time from Settings. We may end your account with 30 days' notice, or immediately if you break these terms, fail to pay, or use the service in a way that harms others or us. Sections 5 to 7 and 11 to 16 survive termination.
We may update these terms. We will email account owners at least 14 days before material changes take effect. Continuing to use the service after that date means you accept the new terms.
These terms are governed by the laws of the State of New York. Any dispute will be brought in the state or federal courts located in Nassau County, New York, and both sides consent to that venue. Before filing, each side agrees to try to resolve the dispute by a phone call with the other side's decision-maker within 30 days.
Email support@bidoffice.co or call the support number in your dashboard.
Effective October 5, 2026. This explains what information BidOffice collects, why, and what we do with it.
Two groups: account holders (contractors and their staff who sign in) and their customers (people who receive a proposal, invoice or appointment from a contractor through BidOffice). If you received an email or a link from a contractor, that contractor chose to send it; we process your information on their behalf.
We do not collect precise location, biometrics, or information from children, and we do not use advertising trackers.
Only service providers who need it to do their job for us, under contract:
We may also disclose information when the law requires it, to protect someone's safety, or as part of a sale or merger of the business (in which case this policy continues to apply). We do not sell personal information and have not done so in the past 12 months.
The contractor who contacted you controls the records about you. To correct or delete them, or to stop receiving messages, contact that contractor directly (their details are on every message). If you cannot reach them, email us and we will help.
You can access, correct, export or delete your information. Account holders can do most of this from Settings; anyone can email support@bidoffice.co. Residents of states with privacy laws (such as California, Virginia, Colorado, Connecticut and Utah) have rights to know, delete, correct and opt out of sale or targeted advertising; we do neither, and we honour the other rights on request without discrimination. We will respond within 45 days. You may appeal a decision by replying to our response.
Account data is kept while the account is open and for 90 days after cancellation, then deleted; backups age out within a further 35 days. Signed proposals and invoices may be kept longer where needed for the contractor's legal and tax records. Security logs are kept for 12 months.
Connections are encrypted (HTTPS). Passwords are hashed. The administrative console requires two-factor authentication. Access to production systems is limited to people who need it, and every sensitive action is logged. No system is perfectly secure; if we learn of a breach affecting your information we will notify you as the law requires.
The service is for businesses and is not directed at anyone under 18. We do not knowingly collect information from children.
We will post changes here and email account owners before material changes take effect.
Part of the Terms of Service.
We may suspend accounts that break these rules. Where practical we will warn you first.
